Finance Officer

Salary: £30,800 pro rata
Hours: 30 hours / 4 days
Location: Alnwick

We are a vibrant arts centre, theatre and cinema in the town of Alnwick and now firmly established as one of the leading small venues in Northumberland.

Due to continued success, we are looking to recruit a Finance Officer to manage and contribute to the overall financial operation of Alnwick District Playhouse Trust (ADPT)

Main Duties Include:


To be responsible for and contribute to the overall management and development of the financial aspects of the organisation, working closely with the Artistic Director/CEO and reporting to the Finance Committee of the Board of Trustees to make sure it is financially robust and viable.

To work closely with the Artistic Director/CEO and liaise with staff to produce an annual budget.

To work closely with the Artistic Director/CEO and fundraisers as relevant for large or long-term funding applications and the reporting and monitoring thereof.

To produce the monthly the management accounts and forecast, reporting regularly to the Finance Committee of ADPT Board of Trustees to enable decision making and risk management.

To liaise with all external bodies as relevant including HMRC, the Charity Commission, Companies House, The Pensions Regulator, HSBC and Arts Council England to ensure that ADPT is informed and compliant.

To carry out all year end tasks and liaise with the ADPT appointed accountants and Independent Examiners/Auditors in preparation for the production of Annual Charity Accounts.

To oversee the procurement of financial products, services, and systems as required by the business plan or the Board of Trustees.

To liaise with the Board of Trustees to ensure that any Financial Procedures and Policies documentation is regularly evaluated and adhered to.

Day to Day Financial Management:

To be responsible for all book-keeping tasks and the day to day running of the financial side of the organisation and to carry out all monthly financial tasks to enable accurate management accounts.

Book-keeping tasks include regular supplier payments and the monitoring of creditors, the raising of sales invoices and the monitoring of debtors, petty cash management, credit card management, banking, bank reconciliations, balance sheet reconciliations, stock adjustments, monthly prepayments, accruals and deferred income, gift aid claims and VAT returns.

To adhere to all Financial Procedures and Policies and to ensure that accurate and efficient financial systems are in place and to liaise with staff accordingly.

To work closely with project budget holders to ensure project managers are equipped to monitor their budgets. To produce accurate financial reports when required for Government funders, Trusts and Foundations.

To manage ADPT Payroll and all associated tasks. To ensure staff are paid accurately and on time. To ensure all regular tasks are carried out including HMRC and pension scheme submissions. To produce accurate wages journals. To liaise with the organisations’ administrator on new starters and leavers.

To manage the ADPT Pension Scheme to ensure all contributions are made on time. To liaise with The Peoples’ Pension, the scheme provider and The Pension Regulator as relevant.

To manage all cash including petty cash and till cash – to ensure correct floats are maintained and all takings are regularly recorded and banked.

To be responsible for all financial reconciliations for events that take place at the Playhouse, liaising with Box Office, Production, Administration and Marketing staff in order to produce accurate financial statements. To liaise with all visiting artists and organisations and make settlement payments promptly.

Any other financial duties that may arise.

The Ideal Candidate will:


  • Be qualified through the Association of Accounting Technicians or similar.
  • Have significant experience in all book-keeping tasks
  • Have experience in Budgeting and Management Accounting
  • Be competent in the use of Office 365 Excel and Word, and accounting software (ADPT currently uses Xero accounting software and Sage Cloud Payroll)
  • Be able to balance the strategic with the day to day financial management of ADPT and prioritise accordingly


  • Have experience in a similar role
  • Have a working knowledge of Charity Accounting
  • Have knowledge of the U.K. Arts Industry
  • Have knowledge of the Charity Sector
  • Be aware of Cultural Exemption for VAT purposes
